Conference Manager

Job Description
Are you an event planner, looking for your next challenge? Would you like to develop event experiences for students, academic staff and leadership teams in the higher arts education sector? Do you know how to successfully manage in-person, hybrid and online international events?

ELIA is looking for an experienced Conference Manager to organise upcoming ELIA events in 2023, especially the ELIA Academy 2023 (Évora, Portugal) and ELIA Leadership Symposium 2023 (Manchester, United Kingdom).

Tasks and Responsibilities:

  • Responsible for the preparation, monitoring and evaluation of ELIA events;
  • Responsible for event management, planning and registration;
  • Monitoring the events’ budgets;
  • Developing detailed plans for each ELIA event;
  • Programme development for each ELIA event, in collaboration with the steering group or the project team;
  • Supporting the creation of events’ communications and materials;
  • Preparing steering group meetings;
  • Liaising with events’ steering groups and project managers;
  • Arranging facilities, logistics, travel arrangements if needed;
  • Overseeing the production and execution of each event;
  • Co-ordinating the ‘local’ event organising/project team;
  • Briefing the speakers, presenters, contributors to the programme about event aims and expectations, preparing them for an excellent delivery of their content;
  • Undertaking any tasks and responsibilities reasonably required by the organisation.

Profile:

  • Higher education qualification in Events Management or similar;
  • At least two years of work experiences in event management;
  • Excellent verbal and written communication skills in English;
  • Ability to effectively communicate and liaise with different groups and cultures;
  • Computer literate and knowledge of Microsoft Office;
  • Familiarity with event registration systems and procedures;
  • Good knowledge of video conferencing tools;
  • Exceptionally well organised and enjoy getting things done fast and correctly;
  • Experiences and knowledge about event marketing and event communication;
  • Excellent organisational skills and a pro-active attitude;
  • Self-motivated, efficient, a team player;
  • A strong interest in arts and (higher) arts education.

  • Salary range from €2.960 – €4.275 on the basis of a full-time salary, dependent on experience;
