Naturalis Biodiversity Center in Leiden is the Dutch national research institute for biodiversity and systematics. With our collection of 42 million specimens, one of the world’s largest natural history collections, and our state-of-the-art research facilities we offer the (inter)national research infrastructure for species identification and monitoring (for example in the ARISE and DiSSCo projects). We closely collaborate with many Dutch universities, research institutes, industry and government. We host over 120 researchers including 14 academia embedded professors and approximately 40 PhD students. We present the history of our planet, and the diversity of life on Earth, through permanent and temporary museum exhibitions, educational programmes and online presence, with more than 400,000 visitors per year. All in all, a unique combination of science and culture in the Netherlands and elsewhere in the world!

The ISBI (International Collaboration on Biodiversity Infrastructure) group is a Naturalis Biodiversity Center Department, set-up as a direct response to the challenges and opportunities presented in the international landscape of mass digitisation, open science, and data and research infrastructures. The ISBI department focuses on international, national and institutional collaboration in the field of e-infrastructures for data, science, and biodiversity management. The department initiates, coordinates and aligns initiatives and activities, which are funded in an international or national context. Our vision is enabling scientists, policymakers and other domain experts across the world to seamlessly produce, publish and re-use mass-scale and interconnected biological and geological data towards scientific innovation that addresses urgent environmental and anthropogenic challenges of our times.

Project Assistant

36 hours a week

Biodiversity Genomics Europe (BGE) Project
Naturalis coordinates the BGE project. BGE is a 21-million Horizon Europe collaborative project, starting 1 September 2022. The project duration is 42 months. BGE aims at accelerating the use of genomic data for species discovery and biodiversity conservation. The consortium consists of 33 partners.

We are looking for an experienced Project Assistant for this very aspirational European project.

Main tasks
As the project assistant for the ISBI department, and specifically for the BGE Project, you have an important role in supporting the project manager and other team members in the day to day business for the various projects and programs that run through the department. You have a big role in making sure that project administration is up to date, data, documents and reports are managed correctly and that stakeholders (internally and externally) are being informed when needed. The project assistant is the connecting factor within the project teams, and between project teams and the permanent organization.

Your main responsibilities are:

  • Administrative support for the department: agenda management, setting up and managing project files, common secretarial tasks for the team
  • Organizing various gatherings and meetings: Online and offline (post corona) meetings, summits and congresses with participants and organizations from all over Europe. Drafting agendas and organizing documents to be discussed, elaborating and distributing reports, keeping track of or following up on action items, note and minutes taking
  • Structuring and coordinating the many information flows and schedules within and between the various projects, external parties and the permanent organization: Projects progress; coordinating process and collecting various (decision) documents; Coordinating and providing information regarding the projects, preparing cost statements and financial reports for (EC) projects.

General requirements and skills
Your experience, skills and competencies include:

  • Self starting and reliable
  • Excellent organizational skills
  • Digitally proficient
  • Flexible and enjoying to work in dynamic environment
  • Excellent command of the English language in word and writing, Dutch is highly preferred
  • Bachelor (HBO) work and thinking level
  • > 5 years of experience working in project administration

We offer
A fantastic opportunity in an international and groundbreaking team. You will be employed by Naturalis in Leiden. Naturalis Biodiversity Center offers an inspiring and dynamic working atmosphere. We offer a contract for a period of one year and a monthly salary between € 2,727.- and € 3,489.- gross per month (depending on relevant experience) based on a full time (36-hours) working week. Other benefits include a travel allowance, holiday allowance (8%) and year-end bonus (3.4%).
